Event Registration: Workflow and Operations

Quick workflow map

1. Organizer creates an event.
2. Organizer opens registration (token + public link/QR).
3. Attendees submit public form.
4. Operator reviews, approves/rejects, and optionally matches users.
5. Operator applies approved registrations to the event.
6. System inserts participants without duplicates.

Access and permissions

Internal registration operations require:

• MANAGE_EVENT_USERS
• MANAGE_PARTICIPANTS

Registration lifecycle

New registrations start as PENDING.

States:

• PENDING
• APPROVED
• REJECTED

Auto-match and apply

During apply, unmatched approved registrations can be auto-matched by name.

• Match is accepted at confidence 0.7 or higher.
• Existing event members are not inserted again.

Large event scenario (50 approved)

1. Validate approved count and unresolved matches.
2. Resolve unclear names.
3. Run apply.
4. Verify applied count.
